Getting Started

How do I create an account?

Download DriveFlo from Google Play or the App Store, then tap "Sign Up" and enter your email address. You'll receive a verification email to complete registration. You can also sign up using your Google account for faster setup.

How do I log my first trip?

From the Dashboard, tap "Add Trip" and enter your starting and ending odometer readings. You can also add details like the trip purpose and select whether it was for business or personal use. Your trip will automatically be saved and included in your mileage totals.

What is the "Smart Ratio" feature?

Smart Ratio automatically calculates your business-use percentage based on your logged trips. This percentage helps determine what portion of your vehicle expenses (gas, insurance, maintenance) can be claimed as business expenses for tax purposes.

Expenses & Receipts

How do I scan a receipt?

Tap the camera icon on the Dashboard or go to Expenses → Add Expense → Scan Receipt. Position your receipt within the frame and tap the capture button. DriveFlo will automatically extract the merchant name, date, and amount from the receipt.

What expense categories are available?

DriveFlo includes categories commonly used by drivers: Gas/Fuel, Maintenance & Repairs, Insurance, Car Wash, Parking, Tolls, Phone/Data, and Other. These align with standard deduction categories recognized by the CRA and IRS.

Where are my receipts stored?

Receipt images are securely stored in the cloud using encrypted storage (Cloudflare R2). Your receipts are backed up automatically and can be accessed from any device when you sign in to your account. Data is retained according to our Privacy Policy.

Subscription & Billing

What's included in the free version?

The free version includes basic mileage tracking, manual expense entry, and simple reporting. You can log unlimited trips and view your basic mileage summary.

What's included in Pro?

Pro includes everything in Free plus: receipt scanning with OCR, unlimited cloud backup, smart ratio calculations, detailed tax reports, CSV/PDF export, multi-year history, and priority support.

How do I cancel my subscription?

Android: Open Google Play Store → Menu → Subscriptions → DriveFlo → Cancel

iOS: Open Settings → [Your Name] → Subscriptions → DriveFlo → Cancel

You'll continue to have Pro access until the end of your current billing period.

How do I request a refund?

Refunds are handled by the app store where you purchased your subscription:

Google Play: Visit play.google.com/store/account/orderhistory

Apple: Visit reportaproblem.apple.com

Reports & Export

How do I generate a tax report?

Go to Reports → Tax Summary. Select the tax year and tap "Generate Report". You'll see a summary of your total mileage, business-use percentage, expense breakdown by category, and estimated deductions. You can export this as a PDF to share with your accountant.

Can I export my data to Excel?

Yes! Pro users can export their data as CSV files, which can be opened in Excel, Google Sheets, or any spreadsheet application. Go to Settings → Export Data to download your trips and expenses.

Account & Data

How do I delete my account?

Go to Settings → Account → Delete Account. This will permanently delete all your data including trips, expenses, and receipts. This action cannot be undone. You can also email us at support@drivefloapp.com to request account deletion.

Is my data backed up?

Yes, your data is automatically synced to our secure cloud servers whenever you have an internet connection. If you lose your phone or get a new device, simply sign in with your account to restore all your data.

Can I use DriveFlo offline?

Yes! DriveFlo works offline. You can log trips and expenses without an internet connection. Your data will automatically sync to the cloud when you're back online.

Troubleshooting

The app is not syncing my data

Try these steps:
1. Check your internet connection
2. Pull down on the main screen to force a sync
3. Sign out and sign back in
4. Update the app to the latest version
5. If issues persist, contact support

Receipt scanning isn't working

For best results:
• Ensure good lighting (avoid shadows)
• Hold the camera steady
• Make sure the entire receipt is visible
• Smooth out wrinkled receipts
• Grant camera permissions in your device settings

I can't sign in to my account

1. Double-check your email address for typos
2. Use the "Forgot Password" link to reset your password
3. If you signed up with Google, make sure you're using the same Google account
4. Check your spam folder for verification emails
5. Contact support if you're still having trouble
